
Office Operations Specialist

As a seasoned administrator, you will support project estimators in ensuring the smooth preparation and follow-up of tenders. Your organizational skills and technical expertise will be essential in maintaining stationery and office equipment within the Estimating Department.
Key Responsibilities:- Prepare tender documents and presentations, including qualification requirements across multiple estimating portals.
- Attend meetings and take minutes as required.
- Assist in obtaining supplier/subcontractor quotations, printing and issuing documents, and following up with telephone calls.
- Research current tenders via internet, newspapers, or other means available.
- Prompt estimators to follow up on tender prospects.
- Follow up on the status of minor works tenders with builders and consultants, as directed by the Estimating Manager.
- Maintain databases and spreadsheets for record-keeping purposes.
- Print handover folders for successful tenders.
- Internal resume creation/maintenance for staff, as needed (part of bids and proposals).
- Create and maintain capability statements as required.
- Administrative projects, as requested by the Estimating Manager.
The successful applicant will have opportunities to grow and develop into project administration roles and other internal promotions over time.
Selection Criteria:- Permanent resident of Australia.
- Similar administration experience in project management, construction, estimating, or sales administration.
- Highly organized with initiative.
- Excellent computer skills, including databases and accounting software.
- Construction industry experience is ideal but not essential if an applicant demonstrates all other attributes.
