The Opportunity

The Business Operations Coordinator plays a key role in ensuring that our Designworks business operates within the guidelines of our licensed contracts. This involves working closely with the licensing manager and accounts team to ensure accurate royalty reports, forecasts, and financial requirements are processed correctly.

Duties and Responsibilities:

  • Approval Process Management: Manage the approval process for each license, ensuring relevant areas of the business adhere to contractual processes and stages.
  • Licensor Communication: Follow up with designers, production, and QA teams to ensure Licensor comments are actioned in a timely manner.
  • Educating Stakeholders: Educate internal stakeholders on the License approval process for each license.
  • Briefing Teams: Brief teams on sending final licensor samples, including the number of samples and portal logins.
  • Style Guide Maintenance: Maintain a library of style guides and login information for licensor portals, communicating updates and new guides/restrictions to relevant stakeholders.
  • Licensor Liaison: Liaise with licensors on approvals.
  • File Maintenance: Maintain and update files to meet licensor requirements.
  • Collaboration with Licensing Manager: Work closely with the Licensing Manager on any approval issues at the Licensor level.
  • Financial Reporting: Collaborate with planners, account managers, finance, and licensing manager to submit financial and business reports.

Skill and Experience Requirements

  • Licensed Brands Experience: Experience working with licensed brands, contracts, and style guides.
  • Microsoft Office Proficiency: Proficiency in Microsoft Office Suite.
  • Adobe Creative Suite (Optional): Experience in Adobe Creative Suite (Illustrator, Photoshop) desirable but not essential.
  • Organizational and Communication Skills: Exceptional organizational skills and strong communication skills.
  • Team Player: A team player with problem-solving skills.
