
Branch Support Coordinator

We are seeking a highly organized and detail-oriented Branch Administrator to join our team. As a key member of the Service Department, you will provide coordination support for daily activities, working closely with the Service Operations Manager and serving as a point-of-contact for customers.
This role entails ensuring accurate and timely processing of all administrative tasks associated with the Air & Power Service Department. Your responsibilities will include:
- Receiving and dispatching parts and goods in Oracle
- Raising jobs in Oracle as supplied by the Service Operations Manager and Supervisors
- Submitting costing of jobs when completed to ensure revenue streams are constant for the branch
- Managing expense forms and leave forms for the branch, presenting them to the Operations Manager in a timely manner
- Receiving and reconciling all Supplier and Sub-Contractor invoices, forwarding them to Head Office for payment
- Checking FSR's and Warranty Claim forms for accuracy and completeness before sending to Head Office
- Maintaining stationery, computer, and photocopier supplies for the Service team within budget constraints
- Performing general clerical/administration duties as needed
- Ensuring all work is done promptly and presented to a high standard at all times to promote and maintain quality image to customers and suppliers
- Coordinating Client Purchase Orders for all after-hours Service calls
- Raising EPOs for Customer Engineers
- Collating and administering timesheets for the review of the Service Operations Manager prior to forwarding to Payroll
To be successful in this role, you will need:
- At least 2+ years administration experience
- Strong communication skills with attention to details
