Branch Administrator

We are seeking a highly organized and detail-oriented Branch Administrator to join our team. As a key member of the Service Department, you will provide coordination support for daily activities, working closely with the Service Operations Manager and serving as a point-of-contact for customers.

This role entails ensuring accurate and timely processing of all administrative tasks associated with the Air & Power Service Department. Your responsibilities will include:

  1. Receiving and dispatching parts and goods in Oracle
  2. Raising jobs in Oracle as supplied by the Service Operations Manager and Supervisors
  3. Submitting costing of jobs when completed to ensure revenue streams are constant for the branch
  4. Managing expense forms and leave forms for the branch, presenting them to the Operations Manager in a timely manner
  5. Receiving and reconciling all Supplier and Sub-Contractor invoices, forwarding them to Head Office for payment
  6. Checking FSR's and Warranty Claim forms for accuracy and completeness before sending to Head Office
  7. Maintaining stationery, computer, and photocopier supplies for the Service team within budget constraints
  8. Performing general clerical/administration duties as needed
  9. Ensuring all work is done promptly and presented to a high standard at all times to promote and maintain quality image to customers and suppliers
  10. Coordinating Client Purchase Orders for all after-hours Service calls
  11. Raising EPOs for Customer Engineers
  12. Collating and administering timesheets for the review of the Service Operations Manager prior to forwarding to Payroll

To be successful in this role, you will need:

  • At least 2+ years administration experience
