Job DescriptionKey Responsibilities:
  • Facilitate New Hire orientation and onboarding process, ensuring a smooth transition for employees.
  • Manage the HR email inbox, providing guidance on HR policies and procedures while maintaining confidentiality.
  • Collaborate with HR & Payroll to maintain accurate employee records, process transfers, report changes, and terminations efficiently.
  • Partner with the learning and development team to coordinate employee training, scheduling, and other L&D activities.
  • Analyze HR-related data to support decision-making, identify trends, and optimize processes.
  • Oversee employee benefits, charity processes, and documentation updates, ensuring compliance and efficiency.
  • Support immigration, visa, and employment permit processes, ensuring timely resolution and compliance.
Recruitment Support:
  • Candidate travel and expense management to ensure seamless experience.
  • New Hire system setup, maintaining candidate status and completing required system forms accurately.
  • Management of New Hire documentation, including reference and background checks through 3rd party systems.
  • Vendor management, setting up and maintaining vendor information, and managing invoices efficiently.
  • Employee Referral Program management, promoting internal referrals and recognizing participants.
  • Recruitment merchandise management, ensuring branded materials are ordered and distributed promptly.
  • Participate in additional recruiting-related projects, such as marketing campaigns, event planning, and social media outreach.
  • Provide cover for recruitment coordinators as needed, ensuring continuity of services.
What We're Looking For
  • Demonstrated professional or intern experience as an assistant/coordinator or similar role.
  • Prior experience supporting Human Resources and/or Recruitment teams is preferred.
  • Excellent communication, collaboration, and problem-solving skills, with attention to detail and urgency.
  • Superior time management, organizational skills, and ability to juggle competing priorities effectively.
  • Discretion and ability to handle confidential information sensitively.
  • Proficiency in Outlook, scheduling systems, Word, and Excel.
  • A continuous improvement mindset, finding creative solutions to optimize processes.
  • Thrive on delivering high-quality candidate and stakeholder experiences.
Estimated Salary: $65,000 - $80,000 per annumBenefits
