Facility Support Role

At Jacobs, we're committed to delivering exceptional services that support our clients' success. We're seeking a highly organized and detail-oriented Facility Support professional to join our team in Perth.

This permanent position plays a critical role in ensuring the smooth operation of our office facilities, providing exceptional support to our employees, clients, and guests. The successful candidate will be responsible for a variety of tasks, including:

Reception Services
  • Answering and directing incoming calls
  • Greeting visitors and determining the nature of their business
  • Ensuring completion of visitor management tasks, including reviewing the Office Safety Induction Presentation
  • Maintaining guest and visitor sign-in/out records and overseeing the distribution and return of employee and visitor access badges
  • Assisting with building or suite access control and maintaining a safe, healthy, and secure office environment
  • Maintaining local contact lists, as needed
  • Maintaining a neat and organized front office area
  • Managing conference room use, reconciling conflicts, and posting schedules, as necessary
  • Assisting with meeting setup, including procuring food and equipment
  • Performing other duties in support of the facility team or general office, as needed
  • Preparing and processing incoming and outgoing mail, including determining and affixing postage
  • Maintaining records on outgoing registered mail and packages and reconciling charging errors, as necessary
  • Handling special requests for mail, package, and shipping services
  • Ensuring compliance with all relevant legislation related to the handling and shipping of materials
  • Assisting with mass mailings, including generating distribution lists and labels
General Facility Support
  • Purchasing and stocking office supplies
  • Following standard supply and related cost charging guidelines
  • Responding to internal requests for facilities services or repairs and contacting property management or external providers, as necessary
  • Assisting with tasks related to facility management and appearance
  • Assisting with facility Health, Safety, Security, and Environmental tasks
  • Supporting Plan Beyond goals and tasks related to Office Sustainability
  • Creating or ordering Jacobs identification badges and providing building or suite access card management
  • Directing staff to corporate guidance on offsite storage and coordinating box storage and retrieval
  • Upkeeping floor plans and other office information
  • Tracking office utilization or updating other facility-related data, as needed or requested
