Admin Coordinator Job Description

We are seeking an experienced Admin Coordinator to join our Service Department. The successful candidate will play a crucial role in supporting our team, delivering exceptional customer service, and ensuring efficient coordination between customers, on-site technicians, and the broader service team.

The Admin Coordinator will be responsible for managing customer creation and entry/maintenance of customer service contracts, raising jobs, dispatching, and planning/scheduling operations for staff utilization.

This position includes:

  • Managing deliverable jobs from creation to completion using ERP systems
  • Entering data for contracts, renewals, new contracts, and warranty creations
  • Treating costs and expenses with restraint, aligning with company expectations
  • Processing vendor invoices and submitting to Accounts Payable for payment
  • Collaborating with Service Managers to plan and schedule day-to-day operations, ensuring timely service delivery
  • Utilizing the Service ERP system to manage service jobs, including breakdown repairs, agreement maintenance, projects, and quoted work
  • Acting as primary contact for Technicians, addressing issues and coordinating resolutions with the Service Manager

Requirements:

  • Previous experience in administration or coordination
  • SAP database experience is essential
  • Multitasking and prioritization skills according to business priorities
  • Intermediate computer skills and high attention to detail
  • Exceptional verbal and written communication skills
  • Solution-based mentality and adaptability in a fast-paced environment
  • Experience in Building/Construction or Service industry is highly regarded
  • MYOB and Salesforce experience is an advantage
