We are seeking a highly organised and dynamic professional to lead administrative functions at our facility. This multifaceted role combines frontline support with finance, procurement, and operational coordination.
- Manage reception duties and maintain secure site access protocols, ensuring seamless entry for staff and residents.
- Administer staff and resident identification badges and maintain accurate registers, safeguarding sensitive information.
- Maintain and update resident documentation throughout the full admission and discharge process, guaranteeing transparency and compliance.
- Oversee document control systems, including formatting and distributing site materials, promoting effective communication.
- Assist with preparation of audits and onboarding materials for new staff and residents, facilitating a smooth transition.
- Process invoices and petty cash transactions using ARMS and Epicor systems, ensuring timely financial reporting.
- Support financial reporting activities, including monthly reconciliations and procurement tracking, maintaining fiscal integrity.
- Monitor stock levels and manage supply deliveries in accordance with purchasing protocols, minimising waste and maximising efficiency.
- Execute banking procedures such as bond cheque processing and finance documentation submission, safeguarding financial assets.
- Submit, track, and follow up on facilities maintenance requests via My Buildings system, ensuring optimal working conditions.
To be successful in this role, you will require:
Requirements- Demonstrated experience in administration, preferably in aged care or a busy service environment.
- Proficiency with systems such as Epicor, ARMS, and Microsoft Office.
- Excellent multitasking skills and keen attention to detail.
- Professional, respectful communication and confident frontline service.
- Strong teamwork and problem-solving approach.
