Behind the Scenes Coordinator

We're seeking a detail-driven and highly organized individual to join our team as a Behind the Scenes Coordinator.

Your primary focus will be on coordinating shifts, managing staff schedules, and ensuring seamless execution of live events.

  • Rostering & Scheduling: Coordinating shifts for both permanent and freelance crew based on project requirements.
  • Pricing & Leave Management: Managing time sheets, TOIL, and staff leave in collaboration with senior operations staff.
  • Compliance & Training: Maintaining licenses and certifications, booking training sessions, and upholding high safety standards.
  • Travel & Freight Management: Booking crew travel, arranging logistics, and overseeing event requirements.
  • Onboarding & Administration: Supporting new hires, raising purchase orders, and handling reporting tasks efficiently.

To succeed in this role, you'll require exceptional organizational skills, strong attention to detail, and the ability to multitask under pressure.

You'll thrive if:

  • You have experience in rostering, workforce coordination, logistics, or event operations.
  • You understand the fast-paced nature of the live events industry.
  • You can build strong relationships with internal stakeholders.
  • You're proficient in using scheduling tools (Personnel Manager experience is beneficial but not essential).
  • You possess excellent communication and problem-solving skills.
