About the Role

We are seeking a highly organized and skilled Project Coordination Specialist to support our team in delivering complex projects. The successful candidate will play a critical role in ensuring the smooth execution of project activities, providing high-level administrative and operational assistance.

The ideal candidate will work closely with multidisciplinary project teams and key stakeholders, ensuring timely delivery and seamless communication. Strong organizational skills, attention to detail, and excellent communication skills are essential for this position.

Key Responsibilities:

  • Schedule and coordinate project activities to ensure timely delivery.
  • Maintain and update project documentation, including plans, reports, and registers.
  • Liaise with internal and external stakeholders to facilitate smooth communication and project progress.
  • Provide administrative assistance to project managers, including meeting scheduling, minute-taking, and correspondence management.
  • Monitor project risks and issues, assisting in the implementation of mitigation strategies.
  • Support the monitoring of project budgets and financial reporting.
  • Ensure adherence to relevant policies, procedures, and regulatory requirements.
  • Assist with procurement, inventory management, and logistics for project-related activities.

Essential Qualifications:

  • Proven experience in project coordination or administration roles.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • High attention to detail and problem-solving skills.
  • Ability to work collaboratively in a team environment.
  • NV1/NV2 security clearance or eligibility to obtain one.

Desirable:

  • Previous experience in the defence or government sector.
  • Familiarity with project management tools (e.g., Microsoft Project, Jira, or Primavera).
  • Understanding of defence project frameworks, such as CASG processes or ASDEFCON requirements.
  • Certification in project management will be advantageous.
