Secretariat Officer

We are seeking a highly skilled and experienced Secretariat Officer to join our team at Parramatta City Council. As a key member of our Council Services team, you will be responsible for providing high-quality secretariat services to support the effective operation of Council.
Key Responsibilities- Provide support to the Coordinator, Secretariat Services in providing a high-quality business support service for Council meetings.
- Attend Council meetings, Committee meetings, Councillor workshops/briefings to support these meetings, including minute taking.
- Draft Motions and reports on behalf of the Lord Mayor, Councillors and CEO.
- Coordinate, plan, and deliver training to Council staff on business papers, report writing, secretariat functions, and systems.
- Maintain Council Resolution Register and Councillor Workshop/Briefing Actions Register.
- Conduct final reviews of proof reading and formatting Council and Committee reports prior to CEO review and finalisation.
- Support Council staff with queries related to Council's business paper process and system.
- Degree qualification in business administration or other relevant discipline, or equivalent experience.
- 4 years' experience in a sensitive and demanding working environment.
- Strong understanding of Council meeting practices and procedures.
- Demonstrated expertise in influencing to manage demanding stakeholders.
- Experience supporting Council meetings, Committee meetings or Board meetings.
- Experience in working with clients, management and staff at all levels, to prioritise and resolve sensitive and complex matters which may cause conflict.
- Ability to manage sensitive and confidential matters, utilising discretion, tact and diplomacy.
- Strong verbal and written communication skills with strong attention to detail to review and edit reports.
- Proven ability to work with initiative and versatility on a wide range of matters.
We are offering an attractive remuneration package from $109,727 to $120,809 plus 11.5% superannuation. In addition, we offer excellent employee benefits, including a range of flexible work arrangements, 14 weeks paid parental leave, access to Long Service Leave after 5 years, and more.
