About the Role

The Personal Assistant to the State Director plays a pivotal role in ensuring the seamless and efficient operation of the State Director's office. This position requires a highly organized, proactive, and detail-oriented individual with exceptional communication skills and the ability to maintain confidentiality at all times.

Key Responsibilities
  • Diary Management: Maintain and manage the State Director's complex and dynamic diary, scheduling appointments, meetings, and events, ensuring efficient use of time and minimizing conflicts.
  • Meeting Coordination: Prepare agendas, collate and distribute meeting materials, take minutes, and follow up on action items.
  • Travel Arrangements: Arrange domestic and international travel, including flights, accommodation, and ground transportation.
  • Correspondence: Prioritize and manage email communication on behalf of your executive, ensuring items are actioned/referred appropriately.
  • Event Management: Assist with the planning and execution of events, offsites, including securing speakers and all event-related tasks.
Requirements
  • Previous experience in an administrative role, ideally supporting senior leaders.
  • Ability to problem-solve, multitask, and be flexible with priority of work, knowing what can be handled directly and when to escalate.
  • Experience and/or willingness to learn how to create presentation packs.
  • Resilience, open to feedback, and able to be proactive in identifying areas for improvement.
  • Confidence to interact with senior leaders and handle sensitive information.
