Event Operations Specialist

About the Role

We are seeking an exceptional team player to join our Operations Team as an Event Operations Specialist. The successful candidate will be driven to enhance and continually improve the quality and delivery of our events.

The role places a large emphasis on customer service, relationship building and operational excellence in a fast-paced environment.

  • Assisting with the delivery of operational aspects of B2B events, including pre-event planning, onsite delivery and wrap up.
  • Liaising with venues to ensure the delivery of all venue-related logistics such as cleaning, catering, security and stand plan approval.
  • Communicating with third-party suppliers pre-event regarding event schedules, move-in schedules and OH&S requirements.
  • Assisting with the supervision and delegation of tasks to staff onsite.
  • Monitoring budget spend to ensure costs remain under control.
  • Tracking all event-related expenses and reporting on budget adherence.
  • Identifying potential risks associated with events, including safety hazards, legal compliance and emergency procedures, and liaising with relevant parties to address issues.

About You

We are looking for a highly motivated and organised individual with exceptional attention to detail and standards of customer service. As an innovator and strategic thinker, you will have a mature mindset and display high levels of judgement and decision-making capabilities. You will be proactive, dynamic and adaptable, with the ability to work autonomously and as part of a team.

The ideal candidate will have:

  • Up to 5 years' relevant experience in event operations, including comprehensive knowledge of the events landscape and market complexities and competitiveness.
  • A proven track record of building and sustaining relationships with key internal and external stakeholders in the events space.
  • Superior project management skills and the operational capability to deliver an event on time and manage multiple contractors simultaneously.
  • Sensational time management, logistics management and communication skills.
  • Proficiency in Microsoft Office (Word, Excel, MS Outlook and PowerPoint).
  • A relevant business or tertiary qualification (preferred).
