
Document Information Manager

As a key member of our team, you will play a pivotal role in establishing and managing the document / record management program, ensuring seamless project execution.
Key Responsibilities:
- ECMS Administration: Set up and maintain the Electronic Content Management System based on project needs, registering, controlling, distributing, transmitting, filing, and archiving project records.
- Plan and prioritize document/records management work, train personnel to perform assigned duties, and ensure quality assurance audits are met.
- Develop and implement records retention and turnover plans, ensuring compliance with established standards.
- Collaborate with internal teams to manage project access to the ECMS, perform associated tasks, and train others in these responsibilities.
- Ensure timely processing of supplier and customer documentation within established schedule standards.
- Prepare routine documents using standard office software as needed to support work activities.
- Design and implement efficient systems for document processing, including communication and all project document types.
Requirements:
- Minimum 5 years project-based experience managing document/records management programs, focusing on ECMS configuration, workflow coordination, and process development within the past 7 years.
- At least 3 years supervisory or leadership experience managing document/records program teams within the past 5 years.
- Advanced experience using Aconex, with at least 2 years practical application.
Essential Skills:
- Intermediate to advanced proficiency in standard office automation tools, including Microsoft Excel, Outlook, and Word.
- Ability to organize and prioritize document management tasks.
- Strong interpersonal and customer service skills.
- Flexibility to adapt to changes in work focus and collaborate across all organizational levels.
