Business Operations Specialist
Job Summary:
The Business Operations Specialist is responsible for providing administrative support to the team, ensuring a smooth day-to-day operation of the business. This role involves managing all incoming calls in a professional manner, completing site induction and exit for all visitors/contractors, and performing basic administrative tasks such as mail sorting, document creation, printing, scanning, laminating, label making, filing, and maintaining stationery levels.
Key Responsibilities:
- Manage all incoming calls in a professional manner.
- Complete site induction and exit for all visitors/contractors, ensuring they are signed in and out using a secure system.
- Perform basic administrative tasks such as mail sorting, document creation, printing, scanning, laminating, label making, filing, and maintaining stationery levels.
- Assist with facilities maintenance, record-keeping, and reporting as per company and local legislative requirements.
- Liaise with finance, procurement, and other business units to support internal procedures.
- Provide timely updates to management on areas requiring attention and ensure required tasks are planned and completed accordingly.
- Maintain the reception area, boardroom, staff lunchroom, and amenities such as the coffee machine and order consumables for the kitchen.
- Assist with employee orientation and ID/security card management.
- Responsible for workwear and marketing material ordering and maintenance.
- Scan maintenance history files and logbooks, manage weekly diaries, and update training folders and plans as required.
- Prepare training materials and records, book training courses, and assist with employee events.
Requirements:
- 3+ years of experience
- Certificate III Business Administration
- Excellent interpersonal, oral, and written communication skills
- Advanced Microsoft Office and Database applications skills
- Ability to work independently, meet deadlines, and be self-motivated
- Excellent attention to detail and high level of professionalism
