
Senior Executive Support Specialist

As a key member of our organisation, you will play a pivotal role in providing administrative and executive support to senior leaders. Your focus will be on ensuring the smooth operation of daily activities, managing schedules, correspondence, and stakeholder interactions.
This role involves working collaboratively across teams to enhance operational effectiveness, streamline administrative processes, and support our values-driven culture.
- Provide high-level executive support to senior leaders, ensuring daily operations run smoothly and manage calendars, appointments, meetings, and ensure alignment with organisational priorities.
- Coordinate internal and external stakeholder meetings including scheduling agenda preparation documentation collation and taking minutes with action items.
- Draft review and manage correspondence including emails reports and briefing documents.
- Prepare board papers reports and presentations ensuring accuracy and alignment with LHG's strategic objectives.
- Prioritise and triage incoming requests to ensure that executives focus on high-impact activities.
- Arrange travel logistics including accommodation transport and itineraries to support business activities.
- Organise meeting spaces including room bookings setup technology support and catering arrangements.
- Provide backup support to other executive team members when required ensuring seamless support across the organisation.
- Maintain strict confidentiality and professionalism in handling sensitive information.
- Act as a primary point of contact between senior leaders and internal or external stakeholders.
- Develop positive working relationships with key stakeholders ensuring smooth coordination of projects and initiatives.
- Communicate effectively on behalf of senior leaders when required ensuring clarity and professionalism.
Key Skills and Qualifications:
You will have strong communication and interpersonal skills capable of engaging with executives, colleagues, and external stakeholders. A high degree of accuracy and attention to detail is essential, along with the ability to work autonomously and collaboratively, demonstrating initiative and problem-solving skills.
Previous experience in an executive support role or equivalent is preferred, particularly in aged care, health, or not-for-profit sectors. Advanced proficiency in Microsoft Office Suite is also required.
