Accounts Payable Specialist Role Description:
">The role of an Accounts Payable Specialist is crucial in managing and processing full-cycle accounts payable tasks. This encompasses validating charges, processing weekly payment disbursements, and other AP related duties.
- Charge Validation: Verify the accuracy of charges, perform 3-way matching of invoices for proper documentation, obtain necessary approvals, and ensure correct GL coding.
- Payment Processing: Process weekly payment disbursements, including check runs, vendor ACH, and wire payments, ensuring timely and efficient payment transactions.
- Month-End Close Processes: Manage month-end close processes surrounding payables and accruals to maintain accurate financial records.
- Vendor Documentation: Verify approvals on all vendor documentation to ensure compliance with company policies.
- Vendor Master Files: Maintain vendor master files by adding new vendors and updating existing records to ensure up-to-date information.
- Expense Reimbursement: Co-administrate the expense reimbursement platform, providing training to employees, reporting on issues, and resolving them promptly.
- AP Email Inbox Management: Monitor the AP email inbox to ensure timely invoice processing and respond to vendor or employee inquiries regarding account statements and payment processing issues.
- Company Credit Card Reconciliations: Review Company Credit Card reconciliations and record charges accurately.
- Administrative Duties: Perform administrative duties as assigned to support the smooth operation of the AP department.
- Contract Renewals and Travel Requests: Assist with contract renewals and travel requests to ensure seamless business operations.
Required Skills and Qualifications:
">- Accounts Payables Experience: Possess at least 2+ years of experience in accounts payable roles.
- Understanding of Accounts Payable Process: Have a strong understanding of the accounts payable process and its various components.
- Technical Skills: Be proficient in Microsoft Excel and Word, with NetSuite experience being a plus.
- Attention to Detail: Demonstrate excellent attention to detail in performing daily tasks.
- Accounting and Analytical Skills: Possess solid accounting and analytical skills to make informed decisions.
