Job Title:

A Operations Efficiency Specialist role has become available in a dynamic team.

Job Description:

The ideal candidate will provide operational efficiency and support to the General Manager of Legal and the wider legal team. This may involve managing calendars, scheduling meetings, drafting correspondence, and handling general queries for the GM Legal and Legal Team.

  • Administrative Support: Manage calendars, schedule meetings, draft correspondence, and handle general queries for the GM Legal and Legal Team.
  • Meeting Coordination: Organise Legal Team meetings, prepare agendas, take minutes, and ensure smooth communication flow.
  • Process & Technology Optimisation: Identify and implement improvements in legal operations, including automation and reporting.
  • Financial Management: Handle invoice and expense processing, and generate legal cost reports using a matter management platform.
  • Contract & Signing Oversight: Assist with document signing and maintain the contracts register.
  • Event & Travel Planning: Coordinate travel, organise team events, seminars, off-sites, and manage catering logistics.
Requirements:

The successful candidate will have 5+ years' experience in similar administrative and/or operations roles within or supporting a legal team. They should also have experience in filing and general management of legal contracts, strong communication skills, and ability to engage and maintain strong working relationships with internal and external stakeholders.

  • Excellent IT skills (MS Office Suite) and previous experience in matter management platforms. Experience with electronic signatures and expense tracking is highly regarded.
