
Chief Administrative Specialist

The organization seeks a seasoned professional to oversee administrative operations, procurement, and accounting functions. As a key team member, the individual will ensure efficient functioning of office facilities and support services.
The ideal candidate will possess a strong understanding of basic accounting principles, proficiency in MS Office, and experience with accounting/ERP software. They will also exhibit excellent organizational and communication skills, with the ability to multitask and work independently.
This is a senior-level contract role requiring 2–4 years of experience in administration, procurement, or accounting-related roles. The successful candidate will hold a Bachelor's degree in Business Administration, Commerce, or a related field.
Key Responsibilities- Oversee general administrative tasks such as office maintenance, inventory management, vendor coordination, and documentation.
- Maintain and update administrative records, files, and reports.
- Create and manage Purchase Orders (POs) in accordance with established guidelines.
- Coordinate with vendors and suppliers for procurement needs.
- Ensure timely delivery and quality compliance of ordered goods/services.
- Verify and process Purchase Invoices against POs and delivery notes.
- Support month-end closing by ensuring all purchase-related documentation is accurate and complete.
- Ensure all administrative and procurement activities comply with internal controls and audit requirements.
- Liaise with internal departments for cross-functional support and process alignment.
- Bachelor's degree in Business Administration, Commerce, or a related field.
- 2–4 years of experience in administration, procurement, or accounting-related roles.
- Good understanding of basic accounting concepts.
- Proficiency in MS Office.
- Strong organizational and communication skills.
