Administrative Operations Coordinator

CELOTTI WORKFORCE is seeking a skilled Operations Administrator to join our manufacturing client in Darwin, NT. This is a full-time, permanent role with a competitive salary.
Key Responsibilities
- Provide administrative support for efficient office operations, including maintaining physical and digital filing systems.
- Answer phone calls, manage emails, and schedule appointments, ensuring seamless communication.
- Arrange travel, draft letters, and prepare reports and documents with attention to detail.
- Manage meeting logistics, including agendas, minutes, and catering, to ensure successful events.
- Ensure office equipment and supplies are well-maintained, promoting a productive work environment.
- Handle invoicing and follow-up on material orders, ensuring timely and accurate transactions.
- Support front-of-house operations, assisting walk-in customers with professionalism and courtesy.
- Assist with project claims, inductions, and onboarding paperwork, streamlining processes.
- Manage project communications, including status updates and variations, to maintain transparency.
- Maintain licences register, ensuring all necessary certifications are up-to-date.
- Process payments and provide supply-only quotes as needed, promoting financial efficiency.
Requirements
- Diploma or Certificate IV in Business Administration, or relevant industry experience.
- 3 years' experience in a similar role, or industry experience, demonstrating expertise.
- Intermediate - Advanced Microsoft Office skills (Word, Excel, PowerPoint, and Outlook), with proficiency in MYOB an advantage.
- Excellent verbal and written communication skills, with the ability to work effectively in a team.
- Ability to complete tasks on time, maintain a clean and organized office, and prioritize responsibilities.
- Maintain professional interactions with clients, stakeholders, and colleagues at all times, promoting a positive work environment.
