Role Overview

We are seeking a highly motivated and experienced business professional to join our trading division, based in Melbourne on a permanent full-time basis.

This role involves business coordination, assisting the division in contract administration, trading activities, and handling customer inquiries. You will be responsible for commercial coordination and documentations for the trading business.

Key Responsibilities:

  • Provide business and administrative support to the team
  • Assist with the execution and coordination of international trade and domestic transactions
  • Manage purchase/sales orders, shipping arrangements, and inventory updates
  • Liaise with overseas offices, suppliers, customers, shipping lines, and logistics vendors
  • Prepare, verify, and process shipping and commercial documents (e.g., invoices, packing lists, BLS, CoAs)
  • Support internal processes including approvals, compliance checks, and reporting
  • Assist in trade-related banking transactions, including letters of credit and remittances
  • Coordinate meetings, business travel, and expense claims for the team
The Ideal Candidate

We are seeking a proactive trading administrator with 5 years' experience in business coordination and documentation experience in trading, importing, and exporting activities. You possess excellent communication and coordination skills and are adept at managing multiple tasks, with a keen eye for detail. Your ability to work effectively with internal and external stakeholders will ensure you excel in this role.

Requirements

A minimum of 5 years of experience in a business support, trading assistant, or logistics coordination role is required. Solid commercial understanding of international trade transactions, working knowledge of Incoterms and shipping documentation procedures, and experience handling trade-related banking transactions, including letters of credit and TT payments, are also essential.
