Job Summary

We are seeking an experienced Executive Support Officer to provide high-quality secretarial and administrative support to two Principals and their teams in our Private Business and Family Advisory division.

Key Responsibilities
  1. Provide exceptional daily support to the Principals and their teams, handling all administrative and general requirements with precision and efficiency.
  2. Manage document flow, ensuring accurate scanning, filing, and documentation while maintaining confidentiality.
  3. Coordinate daily/weekly team meetings by preparing agendas, documenting minutes, distributing information packs, and chasing actions to ensure timely completion of tasks.
  4. Prepare client correspondence, including Tax Summaries, Bound Packs, Client Meeting Packs, and Mail Merge documentation, demonstrating attention to detail and professionalism.
  5. Oversee correspondence through the ATO Portal and BAS Lodgments, guaranteeing compliance and accuracy.
  6. Maintain and update client information across the firm's systems to ensure seamless onboarding and offboarding processes.
  7. Collaborate with team leaders to manage workflow, allocate resources, and meet client commitments during WIP meetings.
  8. Coordinate monthly fees and billing activities with designated teams, promoting efficient financial management.
Requirements
  • Proven experience as an Administrative Professional or Executive Assistant in a similar role.
  • Excellent typing skills (minimum 60 wpm) with high accuracy (98%).
  • Proficiency in MS Office Suite products, including Word, Excel, Outlook, and Teams.
  • Familiarity with accounting software, such as Xero, Now Infinity, and Practice Ignition.
  • Superior written and oral communication skills, ensuring clear and effective interaction with stakeholders.
  • Strong numeracy skills and ability to manage time efficiently, adapting to changing priorities and deadlines.
