Job Title: Secretariat Lead Policy Officer

We are seeking a highly motivated and proactive individual to join our team as a Secretariat Lead Policy Officer. As a key member of our team, you will provide end-to-end administrative and secretariat support to our senior executives, including scheduling and sequencing meetings, collating and circulating agendas and papers, and following up to ensure timely resolution of action items.

Key Responsibilities:
  • Provide high-level administrative and secretariat support to senior executives, including scheduling and sequencing meetings, collating and circulating agendas and papers, and following up to ensure timely resolution of action items.
  • Quality assure meeting papers, out-of-session items, and decision documents to ensure alignment and consistency with legislative requirements and other relevant policies and procedures.
  • Document, process, and report on decisions and out-of-session items.
  • Contribute to the ongoing review and development of meeting principles and processes.
Requirements:
  • Exceptional written communication skills and the ability to coordinate information and support for senior officials.
  • Excellent communication skills and the ability to navigate the challenges of negotiating across multiple agencies to proactively provide solutions with tact and creativity.
  • Significant experience in secretariat and administrative tasks, excellent communication and stakeholder engagement skills, the ability to prioritize and manage multiple issues simultaneously, and a high level of personal integrity and confidentiality.
  • Experience providing outstanding secretariat support to senior committees and executives and contributing to the continuous improvement of the operation of such meetings.
  • Strong analytical and written skills, including the ability to write high-quality minutes, prepare briefs, agenda papers, and presentations.
