About the Role

We're seeking a highly organised and proactive Senior Administrative Coordinator to join our dynamic team. In this role, you'll be instrumental in supporting our senior leadership team, ensuring smooth operations, and effective communication across the organisation.

Key Responsibilities

  • Provide high-level administrative support to senior legal executives, ensuring seamless day-to-day operations.
  • Manage and organise complex calendars, efficiently coordinating meetings, travel arrangements, and events.
  • Prepare agendas, take minutes, and follow up on action items for meetings involving the General Counsel and senior leadership.
  • Assist in the preparation of reports, presentations, and research materials, often working under tight deadlines to ensure timely completion.
  • Serve as a key point of contact for internal and external stakeholders, including legal counsel, clients, and vendors, to ensure clear communication and coordination.
  • Conduct credit card reconciliation and manage expenses for five executives, ensuring accuracy and compliance with company policies.
  • Handle sensitive and confidential information with the utmost discretion, maintaining strict confidentiality protocols.
  • Organise and maintain electronic and hard copy filing systems, ensuring legal documents are filed accurately and in compliance with company standards.
  • Support other Executive Assistants during their leave periods, ensuring continuity of executive support and operations.
  • Provide front desk coverage as needed, professionally managing inquiries and welcoming visitors.
  • Track and manage deadlines for legal filings, projects, and deliverables, ensuring compliance and timely submission of all required documentation.

Requirements

  • Previous experience as a Senior Administrative Coordinator in a legal or professional services environment.
  • A minimum of 3-4 years of experience in a similar role.
  • Strong understanding of legal terminology and document preparation.
  • Excellent organisational and time management skills with coordinating multiple diaries, prioritising tasks effectively.
  • Exceptional attention to detail, particularly in document handling and proofreading.
  • Strong communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information.
  • Professional demeanour with the ability to work both independently and as part of a team.
