Job Description

The role of Administrative Assistant is a critical position within our organization, serving as the first point of contact for all Junior Medical Officers, Hospital staff, and visitors to the JMO Unit. The successful candidate will be responsible for handling all enquiries related to rotations, rosters, payroll, leave, registration, and immigration.

The Administrative Assistant will provide support for the annual JMO recruitment, ensuring that the JMO Office meets set Ministry deadlines and complies with necessary HR practices. This includes liaising with JMOs, SMOs, and hospital management, as well as providing administrative duties such as data entry and correspondence.

Key Responsibilities:

  • Provide exceptional customer service to Junior Medical Officers, Hospital staff, and visitors
  • Handle all enquiries related to rotations, rosters, payroll, leave, registration, and immigration
  • Support the annual JMO recruitment process
  • Liaise with JMOs, SMOs, and hospital management
  • Perform administrative duties such as data entry and correspondence
Required Skills and Qualifications

To be successful in this role, you will need to possess excellent interpersonal, written, and verbal communication skills, including customer service focus. You should also have the ability to produce rosters with a high degree of accuracy and attention to detail.

Proven experience in a busy workplace handling high volumes of paperwork, data, and incoming/outgoing correspondence while prioritizing tasks, deadlines, and working under pressure is essential. Self-motivation, reliability, and a strong work ethic are also required.

Relevant qualifications and/or experience in an area such as HR, ideally including an understanding of medical workforce issues, are highly desirable. Experience using Microsoft Office applications accurately and databases such as HealthRoster is also necessary.
