Regional Rail Project Administrator Role

We are seeking a skilled and organized Regional Rail Project Administrator to join our team at the Mindyarra Maintenance Facility in Dubbo. As a key member of our high-performing operations team, you will provide critical administrative support to ensure the smooth functioning and efficiency of tasks related to the project.

Key Responsibilities:

  • Administrative Support: Assist the operations team with various tasks such as documentation, scheduling, and communication.
  • Payroll: Process payroll for the project.
  • Purchasing: Lead raising Purchase Orders and subsequent administration of payments and processing for the Regional Rail project.
  • Record Keeping: Maintain accurate records of project-related documentation, including schedules, contracts, and reports.
  • Coordination: Act as a liaison between different departments and external stakeholders to facilitate effective communication.
  • Compliance: Ensure all administrative activities comply with company policies and project-specific regulations.
  • Documentation: Prepare reports, meeting minutes, and other documentation as required by the operations team.
  • Logistics: Assist with logistics management, including coordinating meetings, site visits, and travel arrangements for the team.
  • Facilities Management: Support the management and upkeep of the project's on-site facilities.

Requirements:

  • Organisational Skills: Exceptional organisational skills to manage multiple administrative tasks efficiently.
  • Communication: Strong written and verbal communication skills to interact effectively with team members and stakeholders.
  • Detail-Oriented: High attention to detail to ensure accuracy in documentation and record-keeping.
  • Problem Solving: Ability to proactively identify and resolve administrative issues.
  • Technical Proficiency: Familiarity with office software (e.g., MS Office Suite), SAP or similar systems and project management tools.
  • Experience: Prior experience in a similar administrative role within a large-scale project or the transport sector is preferred.
