Infrastructure Projects Coordinator
We're seeking a detail-oriented professional to support critical infrastructure projects. As a key player in our organization, you'll be responsible for ensuring seamless operations across various functions.
Key Responsibilities:
Accounts Payable / Workflow Management / Asset Management / Supplier Management:
- Prepare the monthly Work Order report from JDE for the terminals.
- Download monthly work orders from JDE and print hard copies for the terminals.
- Scan and upload signed-off monthly work orders into JDE.
- Maintain physical copies in appropriate folders and keep yearly records.
- Coordinate with the Maintenance Manager and Supervisors to ensure timely completion of work orders in JDE.
- Create Corrective Work Orders & Administrative Work Orders as needed.
- Process Purchase Order requests for the Maintenance Team by using provided email templates.
- Follow up to ensure Purchase orders are processed or obtain necessary approvals.
- Process Purchase orders requests for the Projects team through JD Edwards.
- Handle Goods receipting & Value of Work requests through JDE for Projects.
- Coordinate requests to add suppliers to JDE by liaising with the offshore team and obtaining required information.
- Create Assets Updates and Creation (AUC) forms to manage asset additions, deletions, and modifications in JDE, collaborating with the R&I team and Finance.
Document Control for Engineering Drawings using Meridian:
- Process requests to upload new Engineering drawings/documents or new revisions.
- Ensure accurate metadata for drawings.
- Assist stakeholders in finding and retrieving drawings, using DWG viewer to convert to PDF if necessary.
- Create metadata sheets and organize all drawings systematically during the transition to new software.
Waste Management:
- Maintain the Waste Tracking report.
- Coordinate with Waste Collection Companies and use JDE to obtain invoices and transfer certificates for Waste tracking.
- Submit the Waste Tracking report to stakeholders quarterly.
- Communicate with Waste collection Companies via email to schedule waste collection from the sites.
- Follow up to ensure bins are collected promptly.
