Executive Assistant to CIO and CISO

**Job Summary**

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to our Chief Information Officer (CIO) and Chief Information Security Officer (CISO). The successful candidate will be responsible for managing the day-to-day operations of the CIO's and CISO's office, providing comprehensive administrative support, and ensuring the smooth execution of their duties.

Key Responsibilities:

  • Manage the CIO's and CISO's calendars, scheduling appointments, meetings, and functions.
  • Coordinate the CIO's and CISO's requirements for upcoming meetings, ensuring they are suitably prepared.
  • Assist with the preparation of agendas, presentations, reports, and papers, recording minutes and follow-up actions.
  • Promptly manage correspondence, including emails, phone calls, and mail, coordinating and responding on behalf of the CIO and CISO as required.
  • Arrange travel itineraries, accommodations, and logistics for the CIO's and CISO, and other executives as needed.
  • Manage and reconcile corporate credit cards, petty cash reimbursements, and approvals in a timely manner.
  • Prioritize internal and external requests to the CIO's and CISO, providing a centralized contact point to manage requests for approvals, feedback, and meetings.
  • Manage budgets and spreadsheets, tracking functional spend in a cost-effective and timely manner, ensuring alignment with budget.
  • Ensure a high standard of service is maintained and enhanced across all levels of communication.
  • Represent the CIO's and CISO internally and externally, displaying a friendly, responsive, courteous, and effective interaction.

Requirements:

  • Prior and proven experience as an Executive Assistant supporting dual CIO or C-Suite level executives.
  • Experience in complex and fast-paced corporate environments, preferably in the retail sector.
  • A high level of attention to detail, with exceptional communication and organizational capability.
  • Calm and composed, with the ability to perform well under pressure and manage competing and diverse priorities to achieve deadlines.
  • The highest levels of integrity and professionalism, with the ability to exercise discretion in managing confidential and sensitive information.
  • The ability to be curious, show initiative, and proactively resolve issues as they arise.
  • Advanced skills and proficiency in Microsoft Suite - Word, PowerPoint, and Excel are essential.
  • Experience using SuccessFactors is desirable.
