Role Overview

This role offers the opportunity to be part of a dynamic team that is passionate about creating meaningful, sustainable cities and communities.

  • You will work closely with the Office Services Manager to deliver exceptional client-centric service to all stakeholders.
  • The successful candidate will be responsible for elevating the office environment by meeting the needs of clients and staff, and coordinating high-quality events.

As Team Administrator, you will provide indispensable administrative support to the senior team administrators, requiring you to be exceptionally organized, adept at managing conflicting priorities, and maintaining a calm, professional demeanor under pressure.

Key Responsibilities:
  • Implement effective local office operations by implementing Urbis procedures and systems.
  • Support day-to-day office requirements by partnering with the Office Services Manager and Senior Team Administrators.
  • Deliver a nationally consistent and exceptional front-of-house experience by meeting and greeting staff and visitors.
  • Manage site access compliance, meeting room bookings, and event coordination.
  • Collaborate with the Regional Director and Brand & Clients team to deliver outstanding client events.
  • Maintain stock levels of office supplies and ensure facilities are well-kept.
  • Provide high-quality administrative support, including travel bookings, diary coordination, and expense reconciliation.
  • Assist with IT tasks, mail coordination, new employee onboarding, and support team meetings and marketing activities.
Requirements:
  • 3-5 years' experience in a similar role.
  • High School Completion Certificate – Senior Certificate.
  • Prior experience in airline, hospitality, hotelier concierge, corporate office, or co-working space.
  • Competent in Microsoft Office suite (Teams, Outlook, Word, Excel).
  • RSA / Food Safety Training highly recommended.
  • Certificate(s) in Hospitality.
