Job Summary:

The Administration Manager role is a key position within our organization, responsible for overseeing the administrative and operational needs of the Service Branches.

As an experienced leader, you will be responsible for managing the administration teams, supporting day-to-day operations, and ensuring fluent business operations are maintained across all regions.

Key Responsibilities:

  • Oversee the administrative and operational needs of the Service Branches
  • Support the creation and implementation of process and workflow improvements to improve business efficiency and resource management
  • Oversee the maintenance of service contracts in relation to scheduling, service ticket creation, and invoicing
  • Assist Service Managers in ensuring the Service team performs in line with company expectations regarding daily documentation to allow the administration team to account for correctly and promptly invoice work undertaken
  • Work with General Manager and Regional Service Managers to ensure the smooth and profitable operation of the Service department
  • Implement new systems to manage teams and technicians with planning and efficiency
  • Maintain a high level of communication with internal and external stakeholders
  • Address any arising issues/disputes from clients, including invoice queries, technician attendance, or any change of plans as required by the business
  • Ensure timesheet timeliness and accuracy as part of this process
  • Assist productivity by organizing work in assigned regions
  • Check any aged debt and ensure scheduling aligns with payment terms

Requirements:

  • Previous experience within the industry is preferred
  • People management and demonstrated team leadership skills
  • Customer relationship management
  • Demonstrated success in organizing multiple and diverse tasks within a flexible working environment
  • Intermediate to advanced Microsoft Office skills
  • Salesforce, ServiceMax, and SAP experience would be an advantage
  • Strong organizational and follow-up skills
  • A proactive approach to problem-solving
  • Excellent communication skills with a customer-centric focus
  • Results-oriented and robust attention to detail
