The Role
This is an exciting opportunity to work as a Senior Office Administrator for our CEO, supporting them in their daily tasks and ensuring the smooth operation of our office. The successful candidate will be highly organized, able to multitask, and have excellent communication skills.
Key Responsibilities:
- Office Administration: Manage the CEO's email, calendar, and internal and external communications; prepare and attend meetings, agendas, minutes, presentations, and pitch documents.
- Project Management: Support the CEO and Executive Leadership Team with administrative tasks, including staff surveys, client surveys, annual agency strategy, and delivery.
- Events: Coordinate agency events, such as the annual strategy offsite, internal events, client and partner-related events, Christmas parties, and staff away days.
- Partnerships: Build relationships with key stakeholders within GroupM and WPP networks, maintain relationships with senior clients' EAs, and act as a point of contact for global partners, parent, and sister companies.
- Budget & Expenses: Manage agency purchasing processes, procedures, approvals, and monthly reconciliations; manage agency events to budget and ensure suppliers align with agency codes.
Requirements:
- Minimum 5+ years of experience in a similar role in a fast-paced business environment.
- A background or interest in media, marketing, events, client, and customer experience.
- An organisation ninja who can work fast, think on their feet, and collaborate with the team.
- High EQ, ability to assist the team in diverse environments, anticipating needs in advance.
- Caring and nurturing, willing to go the extra mile to get things done.
