This is a multifaceted role that requires you to be the first point of contact for any guests into the office and provide general office management.
Responsibilities:- Manage onboarding of all new starters from point of hire through to day 1, including contract generation, workday initiation, welcome messages, office setup, and leader engagement for onboarding plans.
- Support coordination of projects as required.
- Coordinate induction programs, managing dates, attendees, invites, rooms, catering, and dinner schedules.
- Maintain employee files, adhering to local regulations and record-keeping requirements.
- Support employee engagement initiatives and activities, such as conferences and events.
- Administer fleet programs.
- Manage offboarding of employees, from resignation to exit interview and outplacement (if applicable).
- Provide general administrative support, including people data and reporting.
- Be the face of the organization, meeting and greeting all visitors to the reception area with helpful enthusiasm.
- Maintain reception operating hours and switchboard.
- Oversee incoming and outgoing couriers.
- Manage the reception inbox, ensuring invoices are sent to accounts and paid in a timely manner.
- Host external guests as required, including meeting rooms and amenities.
- Provide general office management support, ensuring the office functions efficiently and safely.
- Liaise with service providers for comprehensive facilities management, including maintenance and emergency services.
- Oversee workplace health and safety standards.
- Process administrative invoices and manage related office expenses.
- Oversee office logistics, including floor planning, equipment, and stationery supplies.
- Order and maintain kitchen supplies.
