Job Overview

We are seeking an Administrative Coordinator to join our Engineering and Design team in Sunshine Coast. You will undertake and co-ordinate the administrative functions of projects to support the Principal Engineer and Project Managers to deliver projects successfully for clients.

The aim of this role is to take the administrative functions away from engineers and designers so they can focus on client management and technical work.

Specifically:

  • Liaise with clients, authorities, contractors, and team members to understand the scope of Projects.
  • Understand the status of project, where they are in their lifecycle and prepare / complete all administrative paperwork.
  • Keeping a track of applications and submissions following up Authorities, Contractors and other team members proactively.
  • Supporting the team with administrative functions including inputs and assistance with the processing of contract administration functions.
  • Taking meeting minutes and records of meetings.
Key Responsibilities
  • You must be a quick learner, problem solver and be determined in follow-up coupled with high attention to detail and ability to work as part of a team.
  • Able to effectively manage priorities and work on various projects at any one time.
  • Have good situational awareness and ability to quickly recall project status and where tasks are up to without the need to constantly refer to notes.
  • Ability to interpret and communicate basic technical information to clients, contractors and other internal and external team members.
