• Assist in the planning and execution of various projects, ensuring timely completion and adherence to budget constraints.\
• Provide high-level administrative support, including meeting coordination, documentation management, and communication with stakeholders.\
• Undertake administrative tasks, such as organizing recruitment processes, onboarding new team members, and tracking expenses.\
• Prepare emails, presentations, reports, and documentation, ensuring they are well-structured and visually appealing.\
• Schedule and coordinate internal and external meetings, handling sensitive information with discretion.\
• Communicate project progress to stakeholders, providing regular updates and insights.\
• Assist in the creation and maintenance of project documentation, adhering to Ampol's project management methodology.\\
• Support the financial administration of projects, utilizing ERP systems like SAP to raise POs, Good Receipts, and extract reports.\\
• Utilize solid organizational skills, including multitasking and time management, to ensure project deadlines are met.\\
• Collaborate with program/project managers, other team members, and vendors to determine project progress and identify issues that need escalation.\\
• Contribute to the development of innovative solutions, driving meaningful impact and measurable outcomes.\\

• Continuously improve project coordination processes, identifying opportunities for growth and implementing changes as needed.\\

The successful candidate will possess the following qualifications:

• Excellent time management, organization, communication, and interpersonal skills.\
• Experience/exposure to Project Management terms like RAID, RACI, and methodologies like Waterfall, Agile.\
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook & Teams) and Atlassian Suite (JIRA and Confluence).\
• Experience with project management software and collaboration tools.\
• Ability to work independently and as part of a team.\
• Adaptability and the ability to handle a fast-paced environment with competing priorities.\
• Discretion and confidentiality.\\
• Strong analytical and problem-solving skills.\\
• Ability to think innovatively and creatively.
