Event Coordinator Job Description

We are seeking an experienced and highly organized Event Coordinator to join our dynamic team. The successful candidate will be responsible for coordinating conferences and events from confirmation through to post-event follow-up, ensuring exceptional client satisfaction.

The Event Coordinator will manage event documentation, liaise with internal stakeholders and clients, support event operations, and assist with walk-in enquiries.

  • End-to-end event planning and coordination
  • Preparing event orders and communication plans
  • Liaising across departments and with clients
  • Supporting promotional activities and lead qualification
  • Maintaining client databases and producing correspondence
  • Conducting site inspections, briefings, and follow-ups
  • Selling hotel services and identifying new business opportunities
Key Responsibilities

This role involves working closely with the sales team to convert leads into bookings and ensuring seamless execution of events. The Event Coordinator will also be responsible for maintaining accurate records and reports, and providing excellent customer service at all times.

Requirements

To be successful in this role, you will need:

  • Previous experience in a similar Conference & Events role within a luxury hotel or 5-star hospitality environment
  • Proven track record of successfully planning and coordinating events from enquiry to execution
  • Strong working knowledge of hotel systems (e.g., Opera, Delphi, or similar events management software)
  • Excellent verbal and written communication skills, with a professional and client-focused manner
  • Demonstrated ability to manage multiple events and priorities in a fast-paced environment
  • Passion for delivering memorable guest experiences with meticulous attention to detail
  • Confidence in selling and upselling hotel services
