Job Summary

We are seeking an organized and enthusiastic professional to fill the role of Administration Officer. In this position, you will have the opportunity to make a significant impact in the dynamic world of large-scale exhibitions and trade events.

Main Responsibilities:
  • Manage the production of event/trade guides (print and digital), including schedules, briefs, and deadlines.
  • Act as the primary point of contact for exhibitors and visitors, handling inquiries professionally and efficiently.
  • Maintain internal spreadsheets, fulfillment trackers, and production schedules. Manage documentation and assist with onsite logistics.
  • Support freight coordination, pre-event material preparation, and communication with external contractors and vendors.
  • Collaborate closely with Marketing, Sales, Creative, and Operations teams to ensure seamless event execution.
Key Requirements:
  • Strong customer service and communication skills (email, phone, and face-to-face).
  • Confidence in managing multiple deadlines and collaborating across departments.
  • Intermediate Microsoft Office skills (Excel, Word, Outlook). Familiarity with Mail Merge and CRM/reporting is a plus.
  • Ability to follow precise processes and adapt to changing priorities.
  • Experience in events, hospitality, administration, or customer service is highly desirable.
