Project Coordinator

Grimshaw Architects has an exciting opportunity for a highly organized and detail-focused Project Coordinator to join their team. In this role, you will be responsible for managing project schedules, stakeholders, and overall coordination to ensure smooth project execution.

About the Role

  • Quality Control & Document Management: Develop and maintain a project quality plan and ensure it is up-to-date. Establish a filing protocol across the team with sufficient training provided.
  • Meeting Schedules: Manage meeting calendars, issue relevant invites, and book IT requirements as needed. Prepare agendas and record minutes when necessary.
  • Record Keeping: Manage change control, track changes to the brief, record variations, and assist with calculating fees. Ensure incoming and outgoing letters are recorded, filed, and responded to promptly. Issue, track, and follow up on incoming and outgoing requests for information.
  • Fee Management: Collaborate with the finance department to monitor cash flow, forecast resourcing costs, and develop fee proposals. Ensure invoices are issued correctly at the right time and filed.
  • Contract Management: Assist with ensuring appointments are closed out and executed. Familiarize yourself with project appointments and deliverables, providing support and advice to the team to meet deliverables and work within scope.
