
Project Coordinator

Our company is seeking a skilled Project Coordinator to oversee the successful delivery of projects across NSW. Reporting directly to the General Manager, this role involves full project lifecycle management - from contract administration to site execution and final handover.
This is an entry-level position that requires 1–3 years experience in a construction support, project coordinator, or junior PM role. The ideal candidate will have a strong understanding of contract administration and project finance.
The responsibilities of this role include:
- Contract & Project Management
- Lead weekly supervisor meetings and coordinate project updates
- Prepare and submit contract variations, monthly progress claims, and supplier purchase orders
- Conduct and document site inspections
- Manage subcontractor agreements including Schedule of Rates and lump sum quotes
- Accounts Payable & Receivable
- Approve invoices via cloud-based accounting software and reconcile with POs
- Weekly review of project expenditure (labour and materials)
- Prepare and submit claims for payment
- Monitor outstanding payments and report overdue accounts
- Maintain the Retention Register
- Quality Assurance
- Manage cloud-based Quality Management System (QMS) and submit checklists
- Ensure QMS updates align with project progress
- Project Execution
- Provide technical expertise on waterproofing and coatings
- Ensure delivery meets productivity targets and material usage goals
- Allocate and manage on-site human resources
- Coordinate with clients and suppliers
- Communicate project objectives and update summaries for the team
- Troubleshoot delays and productivity concerns
- Prepare monthly Profit & Loss reports using cloud accounting data
- Coordinate supplier inspections
- Post-Completion
- Manage defect rectification works in liaison with clients and suppliers
- Prepare Final Account documents including DOR and Retention Release
The ideal candidate will also possess excellent written and verbal communication skills, proficiency in cloud-based project and accounting software, ability to manage teams and coordinate across departments, and strong time management and problem-solving skills.
