Job Summary

We are seeking a highly organized and detail-oriented Practice Administrator to join our team. The successful candidate will provide administrative support services to clients, contractors, and employees, and establish and maintain positive relationships with clients, external stakeholders, and staff.

Key Responsibilities
  • Provide administrative support services to clients, contractors, and employees
  • Establish and maintain positive relationships with clients, external stakeholders, and staff
  • Manage daily mail, emails, and filing systems
  • Develop and maintain resources as required
  • Provide document management and printing services
  • Perform light cleaning and tidying duties
  • Order office and therapy supplies
Client Services
  • Provide reception duties, including meeting and greeting clients
  • Answer phone calls and respond to messages
  • Manage client queries and concerns
  • Take payments and email invoices
Management of Medicare Cases
  • Create cases on Cliniko
  • Report to clients' general practitioners with updates
  • Manage client diaries
  • Take and process new referrals
  • Manage client queries and concerns
Account Management
  • Input data into practice management software
  • Manage client billing activity and queries
  • Generate and distribute practice management reports
  • Manage third-party payment portals
Finance
  • Manage petty cash
  • Bank and reconcile accounts
  • Organize receipts and invoices
Operational Reporting
  • Generate reports from practice management software
  • Participate in admin and business meetings
Operations
  • Manage internal and external site maintenance
  • Assist with IT installation, updates, and maintenance
  • Assist with updating website content
Internal Workplace Health and Wellbeing
  • Contribute to a culture of OH&S through personal example and leadership
