Executive & Operations Coordinator Job Description

This role supports Tobacco Licensing Victoria's senior leadership team to deliver on the branch's strategic objectives. The Executive and Operations Coordinator will be responsible for providing high-level support services, accurate advice, and information to the Director, Corporate Services and Operations.

The ideal candidate will have highly developed organisational skills with the capacity to meet strict timelines, attention to detail, work cooperatively within a team environment, and balance competing priorities.

Key Responsibilities:
  • Provide executive support to key committees, including preparation of agendas, minutes, strategic briefings, and presentations.
  • Coordinate, manage, and track branch deliverables, ensuring actions are completed and products delivered in a timely manner and to a high-quality.
  • Manage and respond to a wide range of confidential and sensitive matters, ensuring appropriate action, discretion, and follow-up.

To succeed in this role, you must demonstrate initiative, analytical and problem-solving skills, strong written and verbal communication skills, and an understanding of the department's structure, responsibilities, climate, and culture.

Required Skills and Qualifications:
  • Highly developed organisational skills with the ability to meet strict timelines, attention to detail, and work cooperatively within a team environment.
  • Able to deliver in a high-pressure environment with integrity and resilience.
  • Proven ability to build trust through consistent actions, values, and communication.
