**Job Title:** Administrator

**Job Summary:** We are seeking a highly experienced Administrator to manage document control transactions, coordinate with document owners and ensure timely deliverables.

**Key Responsibilities:

  • Maintain all document control transactions in the database
  • Coordinate and drive document deliverables with document owners
  • Ensure all document deliverables are provided on time according to contract due dates
  • Respond to inquiries and resolve issues related to contracts and services for stakeholders involved
  • Maintain tracking database providing data about contracts including variations, milestones, claims, people, shipping events, manufacturing and purchasing progress and day-to-day notes
  • Develop, review and negotiate variations to contracts, programs, projects and services
  • Update forecast costs and milestone invoicing for assigned projects, manage and maintain paperwork associated with contracts and services
  • Contribute to internal discussions and meetings about projects, risk and improvement opportunities
  • Advise senior management on critical matters and implement their decisions effectively
  • Oversee contractor work, ensuring compliance with contracts and reporting on any variations to work orders
  • Dispatch documentation, inspection and release events, optimizing dispatch events in-line with freight budget; police and ensure strict compliance with dispatch evidence; documentation and photographic reports
  • Develop an understanding of Contract Administrator's duties to provide overlay and backup when required

**Requirements:

  • Initiative-taking and solutions-oriented professional with excellent computer skills
  • Proven critical thinking skills with ability to develop strategic solutions
  • Project Management qualifications will be considered advantageous
  • Advanced people skills, communication skills both written and oral
