Key Responsibilities
The role of the Administration Officer is central to ensuring the smooth and efficient running of site administration, contractor management, and front-of-house services.
As a key point of contact for visitors, employees, and contractors, you will be responsible for providing a professional and welcoming first impression. You will manage a wide range of administrative functions including document control, database management, contractor onboarding, and office coordination.
Responsibilities:
- Provide a professional and welcoming first point of contact for all employees, contractors, and visitors to site.
- Answer and direct incoming calls, manage mail, deliveries, and meeting room bookings.
- Maintain and update internal systems such as Forcefield, Chris21, and SitePass.
- Manage site access control, distribute PPE, and ensure training records are maintained.
- Coordinate contractor and supplier services including site events, travel bookings, and office consumables.
- Support document control processes and maintain accurate employee records.
- Assist with site safety initiatives, hazard reporting, and compliance with health and safety regulations.
- Organise building maintenance for the admin office and maintain a tidy, functional workspace.
Requirements:
- Proven administration experience, ideally in an industrial, construction, or operational setting.
- Excellent communication and interpersonal skills, with the ability to interact confidently at all levels.
- Strong organisational skills with the ability to manage multiple priorities.
- Proficiency in Microsoft Office; experience with SAP, Forcefield, and SitePass will be highly regarded.
- High attention to detail and the ability to maintain confidentiality.
- Self-motivated and able to work independently as well as part of a team.
