Job Summary

We are seeking a highly organized and administrative professional to provide operational support to our Sydney wealth management department.

About the Role

This is a junior-level opportunity for candidates interested in Wealth Management/Stockbroking with the scope to evolve into a more technical role within the team. As an Administrative Support Specialist, you will be responsible for providing administrative, operational, and compliance functions within a high-volume and time-critical environment.

Key Responsibilities:
  • Provide administrative support to NSW State Manager & Administration Manager.
  • Support administration of the entire office.
  • Assist with coordinating branch events, client events, seminars, research, and company presentations.
  • Coordinate interstate visitors and manage branch inbox, responding to queries from various teams.
  • Travel booking for management and assisting other staff as required.
  • Compile and reconcile expense claims for Management and assisting other staff as required.
  • Maintain leave register for all staff and perform monthly reconciliation of leave register vs leave entered in Workday system.
  • Process invoice requests from front office staff, liaising with Finance team as required.
  • Maintain organizational charts, phone lists, floorplans, and update internal systems or relevant teams as required.
  • Document management, storing, filing, and archiving of client and management documents.
Requirements
  • 1-3 years prior administration experience in either a corporate or financial services institution.
  • Tertiary degrees highly preferred, especially those within commerce-related fields.
  • Prior exposure to financial services preferred, though recent graduates with minimal exposure will still be considered.
Skills and Qualities
  • Excellent customer service and telephone manner.
  • Great organisational skills and ability to maintain files.
  • Well-developed IT literacy, database, and analytical skills.
  • Knowledge or interest in financial markets and the wealth management/financial planning industry highly desirable.
  • Understanding of compliance and legal requirements pertaining to our client.
  • Administrative experience preferred.

The salary for this role is estimated to be around $60,000 - $70,000 per annum, depending on experience. We offer a range of benefits including opportunities for professional development and career advancement.
