Administrative Support Professional

Clyde & Co, a leading global law firm, is seeking a highly motivated and organized Administrative Assistant to join our Sydney office. This is an excellent opportunity for someone looking to start their career in administration or transition into the corporate world.
Key Responsibilities- Provide administrative support to a team of lawyers, ensuring they have the necessary resources to deliver high-quality legal services to clients.
- Manage general administration tasks, including inbox management, drafting correspondence, and court documents.
- Assist with monthly billing, ensuring client Service Level Agreements (SLAs) and specific billing requirements are met.
- Respond to client and matter queries in a timely and professional manner.
- Coordinate with junior and senior counsel on matter coordination, generating briefs, and liaising with clients.
- Capture and record fee earner time, including business development activities, and liaise with clients.
- Manage diaries, organizing internal and external client meetings, and arranging travel.
- Perform other ad-hoc duties as required.
- Respond to client and matter queries in a timely and professional manner.
- Assist with the preparation of routine correspondence.
- Organize appointments and meetings.
- Download subpoena packets and save according to naming guidelines.
- Assist with the preparation of court documents, including labeling, indexing, preparing files, briefs to counsel, and court bundles.
- Liaise with third-party vendors and service providers.
- Process third-party invoices and disbursements.
- Compile and prepare fee earner expenses.
- Assist fee earners with timesheets in the firm's time management system, Intapp Time.
- Provide assistance with the preparation of client reports.
- Diploma or certification (preferred but not essential).
- 0-2 years of experience in legal administration or professional services.
- Proficiency in all Microsoft Office applications.
- Superior time management and attention to detail.
- High level of professionalism and service excellence with clear and concise communication.
- Flexibility to work autonomously and as part of a team environment.
- Experience with Elite 3E and iManage will be highly regarded.
- A positive attitude to work and an adaptable and collaborative approach.
