Project Coordinator Role

We are seeking a skilled and organized Project Coordinator to join our team.

The successful candidate will be responsible for managing and delivering processes and procedures in accordance with Integrated Investment Portfolio and KPIs.

  • Align with the Major Capital Works Framework, supporting Program Coordinators, Capital Works PMs, External PMs and internal teams.
  • Facilitate project brief and business case sign-off, ensuring all documentation has been provided to raise budget in MRI.
  • Process variation requests and obtain sign-off from relevant stakeholders.
  • Administer project financials and maintain documentation.
  • Provide support to Capital Works PMs and External PMs on procurement, invoicing, and payment queries.
  • Liaise with internal support teams, including Property Accountants, AP, Finance, Vendor Maintenance, Procurement.
  • Ensure Capex project files are document-controlled and approved documents are stored in correct locations.
  • Maintain excel tracker workbooks for project financials, invoice processing and budget release.
  • Facilitate Contract Admin process, liaising with External legal, Capital Works PMs, Tech Services GM and CoSec.
  • Maintain shared capex project mailbox, ensuring all requests are actioned and organised into correct folders.
  • Administer the Project Closeout process and capture Contractor performance feedback in SharePoint Register.

A proactive and self-motivated approach with excellent administration, time management and organisation skills is essential. You will adopt a team player attitude, working independently or as part of a team, and maintain confidentiality and discretion in relation to asset information.
