Front Desk Coordinator

We are seeking an experienced Front Desk Coordinator to join our team. The successful candidate will be responsible for creating a welcoming and professional reception experience, ensuring the smooth running of our client floor and delivering first-class service to clients and employees.

This role involves managing client meeting rooms, using room booking systems, maintaining data integrity and providing regular reporting. You will also coordinate the day-to-day operations of the Client Floor, ensure tasks are performed efficiently and provide backup support to the Client Services Assistants when required.

The ideal candidate will have a minimum of 3-5 years' experience in corporate hospitality, restaurant operations or senior reception roles. They will be proficient in Microsoft Office suite of programs including Excel, Word, PowerPoint and database programs.

A key requirement is the ability to quickly develop strong, trusted relationships with key stakeholders and establish credibility and rapport. The successful candidate must be able to adapt and be flexible to meet changing requirements and needs.

Key Responsibilities:

  • Welcome clients to reception and inform hosts of their guests' arrival
  • Manage client meeting rooms and use room booking systems
  • Maintain data integrity and provide regular reporting
  • Coordinate day-to-day operations of the Client Floor
  • Provide backup support to Client Services Assistants
  • Work closely with the Client Services Team Leader and other stakeholders to ensure seamless collaboration
  • Develop and maintain trusted relationships with team members, partners and stakeholders
  • Proactively seek opportunities to improve processes and procedures

Requirements:

  • Minimum of 3-5 years' experience in corporate hospitality, restaurant operations or senior reception roles
  • Experience with room booking or restaurant reservation systems, AV and technology
  • Events management hands-on experience
  • Delivering premium service and offerings
  • Proficient in Microsoft Office suite of programs including Excel, Word, PowerPoint and database programs
  • Ability to quickly develop strong, trusted relationships with key stakeholders
  • Ability to adapt and be flexible to meet changing requirements and needs
