Job Title: Flights and Accommodation Coordinator

We are seeking an experienced Flights and Accommodation Coordinator to join our team at Sodexo. As a key member of our travel and accommodation team, you will be responsible for the administration of travel and accommodation arrangements for Sodexo employees, sub-contractors, and service partners.

Main Responsibilities:
  • Process flight and room rostering requirements for permanent site-based Sodexo employees
  • Administer travel arrangements for Sodexo, sub-contractor, and service partner personnel and visitors, addressing queries, complaints, and concerns
  • Maintain travel spreadsheets and all travel-related documentation to submit to stakeholders
  • Provide quality customer service and deliver proactive, responsive travel management
  • Answer internal and external calls regarding travel and accommodation arrangements in a prompt and professional manner
  • Liaise closely with site managers to ensure notification of travel changes are efficiently provided to reduce flight penalty costs
  • Lead by example, ensuring standards and processes are consistently adhered to, including participating in the review and development of processes and ongoing continuous improvement activities
  • Review flight no-show costs resulting from processing errors or delays by the Travel and Accommodation Team
  • Conduct quality assurance activities to ensure compliance with process and minimize financial loss
Requirements:
  • An excellent knowledge of the Microsoft Office package, particularly Excel
  • Previous experience with booking travel
  • Understanding of rostering principles (desirable, but not essential)
  • Excellent planning and coordination skills
  • Strong communicator who contributes to good working relationships
  • Organized with effective time management skills
