Job Title: Office Administrator

We are seeking an experienced Office Administrator to join our team at WT Partnership. As an Office Administrator, you will play a crucial role in ensuring the smooth and efficient operation of our Perth office.

Key Responsibilities:

  • Manage and produce high-quality documents, including proposals, reports, and email correspondence with clients and prospective clients.
  • Act as the first point of contact for clients and staff, providing exceptional customer service and administrative support.
  • Ensure documents, invoices, and reports are accurate and timely, maintaining the highest level of professionalism and attention to detail.
  • Organize events and meetings, coordinating logistics and ensuring seamless execution.
  • Manage and coordinate Director's calendars, prioritizing tasks and ensuring timely completion of projects.
  • Provide professional assistance in the drafting of documents and provision of information to clients, maintaining confidentiality and discretion.
  • Set up projects, clients, contacts, fees, resources, and manage monthly invoices to clients on time.
  • Provide reception services, including greeting clients and staff, and handling phone calls and emails.
  • Procure kitchen and office supplies, printed material, and computer consumables, ensuring efficient use of resources.
  • Coordinate service and repairs to office equipment and furniture, maintaining a safe and functional work environment.
  • Coordinate repairs to office facilities and building, ensuring compliance with health and safety regulations.
  • Ensure WT standards and templates are correctly used and updated, maintaining consistency and quality across all documents.

Requirements:

  • Excellent verbal and written communication skills, with the ability to build strong relationships with clients and staff.
  • Strong administrative skills and attention to detail, with the ability to prioritize tasks and manage multiple projects.
  • Proactive and positive outlook, with a willingness to learn and adapt to changing circumstances.
  • Intermediate to advanced skills in MS Office Suite, with experience in Financial Force and/or Sales Force.
