The Office Operations Specialist is a critical business support role within the Office Experience team. This position oversees the day-to-day operations across all offices, taking responsibility for planning, implementation, and optimization of operational practices.
This role encompasses management of day-to-day operations through developing and delivering comprehensive operational plans, such as preventative maintenance programs, service delivery contracts, and coordination of third-party contractors. As the first responder for complex operations issues, this role serves as the primary liaison between stakeholders, managing both planned and reactive works.
To ensure outstanding delivery standards, this role must hold strong technical knowledge and be hands-on as needed to get the job done. The Office Operations Specialist demonstrates strategic thinking and makes independent decisions as appropriate to drive continuous improvement. Contract management, vendor performance, optimization, and cost efficiency are key focus areas to ensure offices maintain exceptional standards and enhance the overall office experience while delivering value for money.
**Key Responsibilities:**
Respond to and manage all day-to-day facility-related queries and requests raised by employees
Manage preventative maintenance schedules and reactive maintenance works, liaising with contractors and building management where necessary to ensure all works are completed within time frames
Work in consultation with the Facilities Manager to develop/improve/refresh/evolve and implement effective processes and procedures relating to office service delivery to the business
Monitor and maintain all safety and emergency procedures across locations and hold the role of Chief Emergency Warden in Melbourne office
Provision of cost-effective and efficient facility services, identifying opportunities/initiatives to improve productivity and minimize costs over time
Manage relationships, contract compliance, and service level agreements with vendors ensuring a high standard of service delivery
**Required Skills and Qualifications:**
Demonstrated experience in busy facilities/property management roles across multiple sites (corporate setting mandatory)
Strong understanding of hard and soft facilities services
Technical proficiency with CMMS, Building Management Systems, advanced MS Office applications, and data analytics capabilities to deliver customized reporting
Exceptional stakeholder management skills, able to build rapport, communicate persuasively, and negotiate effectively with diverse audiences
Adaptable problem-solver who thrives in dynamic environments, combining meticulous attention to detail with strategic thinking
Passionate about creating workplace environments that foster culture and connection, with a customer-focused, positive attitude that drives results
Strong understanding and application of MS Office - Advanced
