Job Overview

We seek a diligent and professional executive assistant to support our director in managing all aspects of the business.

This role involves working directly under the Director, handling various tasks to aid in day-to-day operations.

Main Responsibilities

  • Organise and maintain the Director's calendar and schedule appointments
  • Answering diverted phone calls of the director and handling confidential information with discretion
  • Schedule and coordinate meetings, travel arrangements, typing dictation and file management
  • Prepare and edit correspondence, reports, and presentations
  • Cultivate weekly reports from different departments and prepare the file to submit to the director
  • Provide general administrative support to the Director
  • Assist in managing conversations with debtors and aid in project management
  • Oversee daily operations and improve efficiency
  • Perform other duties as assigned to support the Director and the company

Key Requirements

  • Proven 5-10+ years experience as an executive assistant, secretary, or similar role
  • Strong organisational and time-management skills, with an adept ability in prioritisation of tasks
  • Excellent verbal and written communication abilities
  • Ability to handle sensitive information with integrity and confidentiality
  • A proactive and flexible approach to work
  • Knowledge of legal and financial management is a plus
  • Full Microsoft suite proficiency
  • Highly organised and can prioritise a constantly changing workload
  • Strong attention to detail, a mature and professional attitude
