Job Title: Service Excellence Representative

In today's fast-paced world, cultivating meaningful relationships with customers is vital. We're seeking a Service Excellence Representative to join our team in Sydney Australia.



Key Responsibilities:

The Service Excellence Representative will be responsible for delivering exceptional customer service by utilizing in-depth knowledge of products and services, as well as CRM processes and procedures. This includes generating quotations and price responses, processing orders, managing shipment schedules, expediting shipments, tracking, and finding alternative materials when necessary.



Responsibilities Include:
  • Pre-order preparation using SAP systems and/or pricing tools, performing lead-time checks, and liaising with other functional teams to ensure timely customer response.
  • Collaboration with customers and sales teams to develop a better understanding of our products and services in meeting customer needs.
  • Communication and collaboration with Materials Management and/or Operations teams to anticipate projects, completion timetables, and potential scheduling issues.
  • Order management - processing purchase orders, sample requests, and approved return requests and following through till shipment (order entry, acknowledgements, confirmations, change notifications, etc.).
  • Identifying items with shipment schedules falling out of general lead-time and proactively expediting with Planners.
  • Monitoring and following up on shipment schedules to ensure timely delivery or pick-up as per incoterm of sale.
  • Setting up regular weekly or bi-weekly calls with customers to review open backlog, identify potential delivery push-back, and discuss/resolve any open issue or concern.
  • Processing rebate claims and stock returns approved by Product Line Management.
  • Supporting quality and warranty processes where required.
  • Participating actively in ongoing product, process, systems, and business skills training; providing support and backup assistance to peers.
  • Developing and maintaining constructive and cooperative working relationships with customers, prospects, colleagues, and supervisors over time.


Qualifications and Requirements:
  • Diploma/Degree in Business or related discipline with at least 3 years of working experience in Customer Service or Order Fulfilment environment.
  • Knowledge or experience with SAP systems preferred.
  • Excellent communication skills and good telephone etiquette.
  • A pleasant personality with a passion for service excellence.
  • A strong team player who can adapt to fast-paced and dynamic environments.
